  • Notes on known one-off events this month

Starter prompt

Copy it, fill in the parts in square brackets, and paste it into the AI assistant your organisation allows.

You are a finance analyst. Below is our budget versus actual for [month] in [rupees lakh], by cost head, and notes on known events. For each cost head where the variance is more than [threshold] percent, write one or two sentences explaining it using only the notes. If the notes do not explain it, write 'Reason to confirm with [owner]'. Then write a three-line summary for [audience]. Check your arithmetic and show each variance as amount and percent. Data: [paste CSV]. Notes: [paste notes].

How to use it

  1. 1.Prepare the sheet

  2. 2.Add the context

  3. 3.Generate and check

  4. 4.Send for review

  1. 1

    Prepare the sheet

Export budget versus actual by cost head. Remove vendor names, employee names and account numbers.

  2. 2

    Add the context

Write short notes on known events, such as a delayed payment or a festive season spend. This is what stops the assistant guessing.

  3. 3

    Generate and check

Run the prompt and recalculate every variance yourself in the spreadsheet. Fix any number that does not match.

  4. 4

    Send for review

Share the commentary with the finance controller before it goes to management.

Watch out. Assistants can make arithmetic mistakes and invent reasons. Recheck every figure in your spreadsheet, and keep account and personal data out of unapproved tools.

What you end up with

Clear, checked variance commentary ready for the month-end pack.
