An assistant that reads your order sheet and drafts accurate order-status replies for customers.

Recommended: InnovatorCustomer-facingAgents

Best for

  • Small online stores answering on WhatsApp Business
  • Teams where one person handles all 'where is my order' messages
  • Stores with orders tracked in a sheet or store dashboard

What you need

  • Your order sheet or store system, with API or connector access
  • An AI tool that can call that connector
  • Your standard replies for delays, returns and COD

Starter prompt

Copy it, fill in the parts in square brackets, and paste it into the AI assistant your organisation allows.

You draft WhatsApp replies for [store name]. When a customer message arrives, look up the order in the order sheet using the order number or phone number they give. Reply in the language the customer used (English, Hindi or Hinglish), in under 60 words, friendly and plain. Include status, courier and expected date if available. If you cannot find the order, ask for the order number. Never promise refunds or dates that are not in the sheet. Standard policies: [paste]. Customer message: [message]

How to use it

  1. 1.Tidy the order data

  2. 2.Connect the lookup

  3. 3.Test on past chats

  4. 4.Use as drafts first

  1. 1

    Tidy the order data

Make sure each order has number, phone, status, courier and expected date. The assistant can only be as accurate as this sheet.

  2. 2

    Connect the lookup

Give the assistant read-only access to the sheet or store system through a connector. It should not be able to change orders.

  3. 3

    Test on past chats

Run 20 old customer messages through it and compare drafts with what really happened. Fix the prompt where it guesses.

  4. 4

    Use as drafts first

Have a team member send each reply after a quick read. Only automate once drafts are consistently right.

Watch out. A wrong delivery date or refund promise damages trust quickly. Keep access read-only, protect customer phone numbers, and keep a person reviewing replies until you trust it.

What you end up with

Accurate order-status replies drafted in seconds from your live order data.
